From request for proposal to customer service—one connected process

Sales and finance report two different margins for the same month. A salesperson spends half a day reading a request for proposal. Orders from a portal are retyped into ERP, while customers must separately ask about shipping and invoices. We create one process that delivers data to the right people at every stage.

From proposal through fulfillment and customer service

The proposal, fulfillment, and sales result use the same data

We design the entire flow and identify the system of record for the customer, product, price, order, delivery, invoice, and payment. CRM, ERP, e-commerce, WMS, KSeF (Poland's National e-Invoicing System), portals, and BI exchange data without creating another information silo.

An AI agent organizes the inquiry and prepares proposal material; the salesperson reviews and approves the output
The order arrives through an API, EDI, e-commerce, FTP, or email and goes to ERP
WMS, picking, shipping, the carrier, or the driver move the order through delivery
The sales invoice is validated and sent to KSeF, and the official acknowledgment (UPO) is received
Receivables, reminders, balances, and collection rules trigger the correct actions
A portal, form, or contact center manages the complaint and document exchange with the customer
BI combines Sell-In, Sell-Out, plan, costs, discounts, and margin in one model

The salesperson starts with prepared material

The agent compiles requirements and creates the first proposal draft from specified company knowledge. The salesperson remains responsible for the price, scope, commitments, and sending the proposal.

The order is not retyped

The customer, product, commercial terms, availability, and fulfillment status move among the sales channel, ERP, warehouse, and documents.

Margin has one definition

The report combines sales, discounts, costs, channels, and segments. Sales, finance, and management analyze the same model and the data lineage.

AI recommends, and a person approves. We configure existing models for the company's materials, criteria, and permissions—we do not train LLM or OCR models. We run AI on Azure, Google Cloud, or AWS in European Union regions; the models are not trained on client data, ensuring compliance with the GDPR and AI Act.

How it works

From inquiry and proposal to receivables and sales results

We adapt the solution to the company's sales channels and systems. One order path and data exchange among customer service, operations, finance, and analytics remain consistent.

Path From inquiry to sales result

This universal path shows the stages from initial contact through payment and analysis. We adapt channels, exceptions, roles, and systems to the way the company operates.

Typical scope

The process covers sales, operations, finance, and customer contact

The scope does not end when an order is recorded in ERP. It covers every point where data, a document, or accountability passes to the next team.

Inquiry and proposal

Materials, requirements, first version, and verification of scope, price, and commitments.

Omnichannel orders

WebAPI, EDI, e-commerce, B2B, FTP, and email feed one process in ERP.

WMS and picking

Master data, receipts, issues, priorities, mobile data collection, packages, labels, and fulfillment history.

Carriers and drivers

Shipments, documents, statuses, delivery costs, signatures, photos, returns, and cash on delivery.

Invoices and KSeF

Sales invoices, corrections, validations, exceptions, submission, statuses, KSeF numbers, and official acknowledgments (UPO).

Receivables and collections

Aging, balances, reminders, invoices with payment notices, and rules for placing business on hold.

Portals and complaints

Forms, contact centers, documents, roles, statuses, deadlines, substitutions, and notifications.

Sales BI

Sell-In, Sell-Out, targets, forecasts, distribution, availability, turnover, channels, and margin.

Service requests, complaints, and requests for proposal from people outside the organization go directly to the process through a public AMODIT Forms Portal form in the company's brand.

The supplier-side process is covered separately: requisitions, proposal comparisons, budgets, purchase orders, and links to purchase invoices.

See purchasing and budgeting →

The purchase invoice workflow has its own rules for registration, description, coding, approval, KSeF, and payment.

We connect commercial terms and proposal commitments with a controlled document lifecycle. See contract workflows →

When sales depends on operations and logisticsInventory, planning, WMS, carriers, exceptions, and complaints

Availability and delivery date. Before implementation, a salesperson promises a date based on a plan, while operations only discover a product shortage or delay later. After implementation, the order, inventory, reservations, WMS, and fulfillment progress create one shared status.

Planning and exceptions. Instead of manually combining data from ERP, WMS, and spreadsheets, the planner receives verified information about shortages, delays, and variances. AI recommends a priority, and the planner selects the response.

Complaints and service. The case has a stage, owner, deadline, and data from the delivery, carrier, and ERP, while the outcome feeds a cause report. The paths cover demand → plan → execution → exception analysis and case → response → closure → analysis of recurring problems.

FAQ

Frequently asked questions about sales, orders, and customer service

How do you define the scope of sales system integrations?

We integrate systems through available APIs, web services, EDI connectors, SQL tables and views, or secure file exchange. We establish the system of record, exchange direction, frequency, statuses, retries, and the person responsible for handling errors.

How do AI agents support a salesperson's work?

The RFQ Response Agent organizes materials, compiles requirements, and prepares an assessment. The Sales Proposal Agent uses approved company materials to create the first document version. The salesperson reviews the content, price, scope, and commitments and approves the next step.

Does KSeF Connector support sales invoices?

Yes. For companies operating in Poland, KSeF Connector connects any ERP or accounting system with KSeF, sends sales invoices, validates data, and receives statuses, the KSeF number, and the official acknowledgment (UPO). It also supports multiple companies and on-premises systems.

How do you establish one definition of sales and margin?

We start by defining revenue, discount, cost, period, customer, product, and channel. We then identify sources, transformation rules, and quality controls. The report shows one shared result and lets users navigate to the data used in its calculation.

Does the solution cover complaints and a customer portal?

Yes. We build portals and processes where a customer submits a case and documents, while the team manages it through roles, statuses, deadlines, substitutions, decisions, and responses. The process connects with CRM, ERP, contact centers, and reporting.

How often is operational data refreshed?

We match the frequency to the decision and source capabilities. Not every report requires real-time data; completeness, latency, and information about the latest successful load also matter.

How does AI support demand and fulfillment planning?

AI prepares a forecast, groups signals, and recommends a priority. The planner checks the context, availability, constraints, and effects of a change, then approves the plan.

How does integration monitoring work?

Monitoring covers statuses, logs, alerts, the ability to retry an exchange, and assignment of the person responsible for an error. As a result, missing data among the sales channel, ERP, WMS, and carrier does not remain invisible.

What determines the project cost?

The number of processes and exceptions, channels and systems, data quality and frequency, number of companies and locations, security requirements, history migration, and maintenance scope.

Does the solution run in the cloud and on-premises?

Yes. We run it in the Astrafox cloud, the client cloud, or the client's infrastructure. The project defines access, data-processing locations, monitoring, backups, integrations, and maintenance accountability. After launch, we provide SLA-based support and further development.

Which elements of sales and customer service does Astrafox cover?

We connect our AI agents, AMODIT, and KSeF Connector with CRM, ERP, e-commerce, WMS, carriers, and BI. One agreement covers the process, applications, integrations, data, and maintenance entrusted to Astrafox.
