Challenge: HR processes outside the core system
Leave requests, absences, business trips, training, bonuses, and data changes were handled on paper or by email. Employees needed simple access to their cases, while the organization wanted to keep data consistent with SAP.
New processes appeared as the organization changed. Each required a different form, stages, rules, and permissions.
Solution: one layer for employee processes
Astrafox built a web platform where administrators define request types without creating a separate application for every process.
The solution handles, among other things:
- leave, absences, and business trips,
- bonus, training, and recruitment requests,
- personal data changes,
- working-time records and attendance confirmation,
- leave and team availability planning,
- substitutions during absences,
- reports tailored to employees, managers, HR, and administrators,
- guidance that leads users through forms.
The administrator defines fields, required data, stages, participants, transition rules, actions, and the integration method. Approved information is transferred to SAP or other systems.
Outcome: employee self-service and consistent data
An employee submits a request and tracks its status in a browser. A manager sees team cases and planned absences. HR configures processes and uses current reports. Automated exchange reduces manual transfer of data between applications.
Technical details
The platform is a web application with configurable forms, rules, stages, and roles. The integration transfers data to SAP and other systems. An additional background service performs synchronization, import, export, archiving, and scheduled tasks.
Frequently asked questions
Can an administrator launch a new request type?

Does the platform replace SAP?
No. It provides a user-facing process layer and exchanges approved data with SAP.
