Employee performance review system

An employee, managers, and HR follow one controlled review cycle with reminders, appeals, and reports.

Challenge: one review cycle in a large structure

Employees, direct and formal managers, executives, and HR take part in a periodic review. Paper forms and files caused delays, made it difficult to identify the current version, and required manual reminders to many people.

The process included several forms, reporting relationships, substitutions, deadlines, and appeal proceedings. Preparing consolidated results required data from multiple sources to be combined.

Solution: a digital process from goals to appeal

Astrafox built an application based on the client’s review policy and organizational structure. The system guides users through successive stages and automatically manages dependencies.

Key elements include:

  • a stage schedule with recalculation of dependent deadlines,
  • competency, performance, bonus task, and summary forms,
  • simplified forms for selected job groups,
  • multi-level approval by managers and the employee,
  • digital submission and handling of appeals,
  • panels tailored to employees, managers, HR, and administrators,
  • substitutions during absences,
  • automated reminders and messages,
  • reports on results, progress, strengths, and development areas,
  • an archive of completed cycles.

Outcome: results without manually consolidating forms

The system shows who is responsible for the current stage and what remains to be done. HR sees progress across units and responds before a deadline is missed. Results are available directly after the process closes, while the appeal path is recorded in the history.

Astrafox maintains and develops the solution in successive cycles, adapting it to changes in rules, schedules, and reports.

Technical details

The custom web application uses corporate domain accounts. Permissions follow each user’s role and place in the structure. The administration panel handles bulk data import, schedules, cycle parameters, and notification content. Data is exported to spreadsheets.

Yes. The model accounts for direct and formal managers, substitutes, and assignment changes.
