Systems integration

Integration platform for electronic invoicing

Documents from different systems follow one controlled process from data retrieval through preparation for delivery and archiving.

Challenge: different systems, one required format

Documents came from structured files, databases, and other channels. Each source had its own data structure. Manual retyping and conversion increased the risk of errors and document rejection at a later stage.

The process had to run without an operator present and handle a growing document volume. At the same time, the organization wanted to retain its proven accounting and ERP systems.

Solution: an integration layer between systems

Astrafox built a platform that retrieves data from source systems, transforms it into a common model, and generates a document in the required format. Before delivery, every document is checked against the appropriate schema.

The solution’s main functions include:

  • automatic retrieval of documents from XML files, databases, and other channels,
  • configurable mapping of different input structures,
  • validation of completeness and format before further processing,
  • recurring operation of a background service,
  • a panel for configuration and status monitoring,
  • ongoing process notifications,
  • automated tests that support solution stability.

Outcome: fewer manual operations and better control

Document retrieval, transformation, and validation happen automatically. Structural errors or missing data are detected before the document is transferred to an external system. The team sees statuses in the panel, while existing source systems remain part of the environment.

The modular architecture supports additional data sources, formats, and integration scenarios.

Technical details

The solution consists of a business logic layer, transformation engine, document generator, background service, and web panel. Sources include XML files and databases. The presentation layer displays status changes without requiring a manual refresh.

The solution operates as CloudAgent, a component of KSeF Connector for KSeF (Poland’s National e-Invoicing System). It connects KSeF Connector to an ERP system in the company’s infrastructure when the company does not want to open inbound external connections to its ERP.

Frequently asked questions

Does implementation require replacing the ERP system?

No. The platform is an integration layer for existing accounting and ERP systems. The scope depends on the available data-exchange methods.

Does the platform support additional document formats?

Yes. Configurable mapping and separate modules support additional input and output structures.
